Job description
In this role, the successful candidate will make a significant positive contribution by supporting all office needs and freeing up the Director's time; will form, organize, and maintain administrative structure and systems. Responsibilities will include (but are not limited to):
- Supporting the Director in all office needs so the office runs smoothly and seamlessly;
- Organizing and prioritizing all files, mail (including electronically), special requests and meetings;
- Calendaring including scheduling and coordinating meetings, conference calls, and other events (securing necessary equipment and materials for meetings and following up on action items;
- Ordering and maintaining proper inventory level on all office supplies;
- Managing the procurement of IT hardware and software for Poland office (working with the appropriate US counterparts);
- Building and sustaining effective and professional relationships with all levels of the company, and with vendors and clients;
- Assisting Human Resources (US based) with benefits, perks, etc.
Requirements
Required experience includes:
- 3+ years in a support role, with the ability to work independently;
- The proven ability to take initiative and be proactive;
- Excellent organization skills, and keen attention to detail;
- Ability to multi-task and thrive in a fast paced, changing environment;
- Ability to move seamlessly from one project to another, meeting deadlines without fluster;
- Excellent interpersonal skills and ability to foster camaraderie and teamwork;
- Proficiency in Word, Excel, PowerPoint;
- Comfort and confidence in putting together presentations;
- Excellent verbal and written communication skills are essential;
- Solid English speaking and writing skills necessary;
- Experience working with or supporting Human Resources needs is a plus;
- Experience booking domestic travel is a plus.
Additionally, the successful candidate must be comfortable communicating with the team on Skype and in English.
