Middle Office Team Supervisor
Location: Gdańsk
Ensure the services delivered by our Joint Ventures (JV) teams are delivered with excellent quality and on-time.
Oversee the processes which have been offshored to JV teams.
Ensure the delivery of some BAU activities that have not been offshored.
- Joint Venture (JV) team: this refers to any company outside of the company which has been contracted to complete designated tasks/functions on behalf of SSB
- Oversight Control (OC) team: this refers to IMS team whose primary function is to ensure governance and control procedures exist to control and improve JV activities
Responsibilities:
JV Legal Documentation
- Maintain the SLA / KPI documentation between OC and the JV team
JV Performance Review
- Weekly BAU meetings with JV
- Monthly KPI review meetings
JV BAU Validation
- JV and OC checklists sign-off; sign-off Oversight controls
- Implement Lean Oversight controls to monitor JV processes
- Periodic Controls testing
- Incident review
- JV Standard Operating Procedures (SOP) review
- Document OC procedures
- Work with our JV team to grow their knowledge
JV Escalation
- Be the first escalation contact in case of issue with JV services delivery
- Analyse and respond to Client inquiries
Local BAU Activities
- Deliver Cash ALERT to AXA IM
- Deliver Cash Forecasts to AXA IM
- Receive faxes from AXA IM and instruct them to Custodians and RKS
Also:
- Manage the launch of new funds in relation with Paris Client Services team
- Implement Change Requests (CR) in relation with Paris Client Services team
- Assist the Paris Business Support team in responding to client inquiries
- Provide performance feedback to manager for input into PPR
- Identify and report all risk and compliance issues, breaches and suspicious activities
- Act in accordance with Risk Excellence as part of our Way Ahead foundation
- Perform related duties as assigned
- Interact with internal and external clients to provide comprehensive support on a global basis
- Share responsibility with manager for accurate and timely processing for deliverables, for coaching and development of staff and to ensure proper workload balancing
- Develop and maintain procedures
- Exercise sound judgment in all matters
- Leverage knowledge and technology to ensure optimal results
- Drive execution of all client and business related tasks
- Provide outstanding service to all client/s - internally & externally

Qualifications:
- Experience working in the provision of fund administration services or have worked in another aspect of the Financial Services Industry for a number of years.
- Analytical and capable in working with rigor
- Knowledge of accounting for derivative products
- Knowledge of financial Instruments: Cash, Equities, Fixed Income, ETD, Listed Derivatives
- Knowledge of Middle Office operational processes
- Experience in reconciliation role
- Expertise in Cash Reconciliation is a plus
- Master degree
- In-depth knowledge of derivative products and market practices required
- Micro Office (MS) Excel
- SmartStream TLM/PLM is a plus
- MS Access is a plus
Language skills:
- Fluent written and oral English
- French is a plus
