Job description
The post holder will be responsible for overall office workflow fluency, professional communication with internal and external parties, keeping post, data bases and other records updated, performing a number of various admin tasks but also enhancing organization reputation by accepting ownership for accomplishing new and various requests; exploring opportunities to add value to job accomplishments. Preferred candidate must be a self-starter, with business maturity and an ability to build professional image of the represented organization through successful daily work.
Position purpose
Successful candidate will become a part of a very dynamic business organization cooperating with Business Leaders & Polish Government representatives and will report to the Management Board Executive Assistant.
Main accountabilities
Office Assistant demonstrates eagerness to perform routine tasks with high attention to detail but also will be keen to learn and take on new challenging ad hoc requests requiring business maturity & exceptional communication skills.
Office Assistant will be responsible for:
- Professional mailbox and related communication management
- Fluent office documentation flow (including maintenance of incoming & outgoing post/couriers)
- Support to Management Board Executive Assistant & Communication Lead in variety of tasks that will include:
-event logistics and its support
-finance support
-vendor management
-back office actions related to contract management
-approval process
-follow ups with cooperating parties
- Databases management and keeping related reports up-to-date
- Ordering office stationary, marketing materials & stocktaking
- IT issues support to the PBA (Polish Business Association) members
- Support in additional projects: contacting cooperating Ministries, preparation of formal documents’ print outs, online research, internal projects implementation support
- With gained experience become a back up to Management Board Executive Assistant & Communication Lead
Requirements
- Outstanding written & verbal communication skills both in Polish & English (C1 levels)
- Min. 1 year of experience in similar Administrative or Secretarial role
- Great organizational & time management skills
- Prioritization skills
- High attention to detail
- Ability to work under time and workload pressure
- Confidence in routine tasks as well as ad hoc ones
- Professional Communication skills
- Professional attitude and appearance
- Team Player attitude
- Integrity & business maturity
- Good knowledge of MS Office Package and usage of office devices
