Task Order Manager
Workplace: Warszawa

Responsibilities:
1. Staff Management
- Provide oversight and direction to in-country staff
- Lead staff to meet the organization's expectations for productivity, quality, and goal accomplishment
- Monitor staff performance and time and attendance
2. Vendor Management
- Daily coordination with document delivery vendor to ensure processes followed as stipulated as per the Authorized Process Manual.
- Monitor exceptions of return to sender cases and co-ordinate for return of uncollected documents back to the mission. Ensure return to sender cases are monitored and closed promptly.
- Frequently conduct physical audits of the document delivery and bank service locations to ensure compliance and report any incidents.
- Monitor call recordings and/or place mystery calls as requested.
- Monitor and respond to email inquiries regarding the service
3. Coordination with Stakeholders:
- Ensure prompt reporting and daily coordination including banking report confirmation from fee collection vendor
- Ensure coordination with the US mission on an as needed basis
- Available for daily consultation during normal hours of operation for consular sections, including (in rare instances) after-hours emergencies
- On-site client meetings at least once per month in Warsaw
4. Reporting:
- Monitor Service Level Agreements (SLAs) to ensure service levels are met or exceeded
- Prepare and submit weekly report
- Prepare and submit four monthly reports including SLAs
- Prepare and submit monthly PowerPoint presentation to client
- Ad hoc incident reports as required
Key Attributes:
- 10 to 15 years of working experience in a similar role (Client Relationship Management, Customer Service Management, Visa Outsourcing Services)
- Very strong oral and written communication skills in English
- Strong Russian language skills
- Strong leadership skills
- Ability to conduct research to solve problems and execute solutions
- Desire to learn, grow and contribute creative ideas and make the effort to achieve the team's goals
- Ability to work independently without direct supervision yet at the same time form part of an effective team
- High level of punctuality, work ethic and discretion
- Call center experience
- Proficient with MS Office (Excel, Word)
- Proficiency with software and databases
- Ability to travel within the region
