Global Conference Coordinator
(Incentive travel)
Oriflame is now looking for a Global Conference Coordinator (Incentive travel) to further strengthen our team.
The role of Global Conference Coordinator is to provide active support in managing global and regional incentive conferences in multiple international destinations for up to 1.500 delegates.
Your responsibilities
- Support Global Conference Manager in research and identifying future events destinations
- Responsible for budget calculation and inform about potential risk during the project
- Source venues, recommend and engage catering, acquire supporting technology and coordinate development of materials to execute quality event
- Negotiate agreements with outside providers to ensure lowest cost and highest quality of service
- Coordinate details of events such as hotel bookings, transfers, F&B, seating plans, staging.
- Responsible for collecting data from the markets (e.g. estimates, rooming grids, flight details)
- Actively participate in team’s creative briefs and brainstorming sessions
- Deliver projects on time, within budget, that meet (and hopefully exceed)expectations
- Cooperate with internal and external agencies in the process of conference launch materials development: flyers, videos and social media; always look for new ways to spark attention
- Prepare event programs and confirm all necessary preparations are in order
- Provide post-event analysis, budget recaps and participant feedback and incorporate learning into future plans
- Travel to on site inspections and project managing events
What we are looking for
- 3 years of experience in incentive travel agency
- Very good English (written and spoken)
- Very good computer knowledge including Word, Excel, PowerPoint,
- Willingness to travel (2-3 months a year)
- Proven negotiating and budget control skills
- Very open minded and positive person with a “can do-attitude”
- Creative, team oriented worker
- Strong communication and leadership skills
- Organized and detailed oriented
- Able to multitask and work under pressure
- Able to Coordinate a variety of programs under timelines and deadlines
- Creative ability to communicate core sales messages to a diverse international sales environment
