Office Coordinator
Location: Łódź
Responsibilities
- Provides administrative supports to up to 2-4 members of the Business Solutions Leadership team
- Complex calendar management, travel arrangements and expense management, coordination of virtual and physical meetings and leadership conferences, taking meeting minutes and tracking of action items
- Develop and refine administrative procedures using latest technologies to streamline processes
- Proactively picking up tasks and delivering in a timely manner
- Management and filtering of phone calls, mail, email, clarifying/highlighting required action
- Creating purchase orders and handling documents/contracts
- Preparation and issuing of presentation material
- Assisting with the onboarding and offboarding of senior team members
- Liaising, problem solving and facilitating
- Curious and interested in developing self-further within the business
- Assistance for local Business Support Team
Requirements
- Several years of experience as an Team Assistant supporting senior leaders, ideally in an international environment
- Professional proficiency in English
- Excellent communication and organizational skills
- Microsoft Office expert user
- Ability to build strong relationships with key stakeholders
- Service-minded, solutions oriented, a problem solver, a team player and has a collaborative working style
- Able to work at pace, adapt to change and remain calm in stressful situations
- Capable of working independently as well as in teams
- Loyalty, discretion, unquestionable integrity and professionalism
- Working from the office 4-5 times a week

- Experience with SharePoint, SAP, Ariba and a general affinity to technology
