Senior Project Management Officer

Responsibilites
PMO Standards & Control
- Own the governance standards across the portfolio, including tracking, monitoring and updating the status of programme deliverables
- Key expert to support PMO team in preparation of key governance meetings i.e. Steering Committee and Programme Updates in a consistent and logical manner
- Support the Portfolio Manager in refining and implementing governance processes
Finance Tracking
- Support the Portfolio Manager in the management of the financial overview of the portfolio
- Own the financial forecasting processes, ensuring documentation is kept up to date and improved
- Become an expert in the Cudtomer internal forecasting system (BAFTA) to help resolve financial issues
- Tracking of incoming of invoices from vendor partners vs. forecast
Resourcing
- Own timesheet management and administration across the portfolio with support from PMO team members
- Own the resource plan process, identifying and implementing improvements as appropriate
- Oversight the on-boarding process for external, internal and conversion hires to ensure a smooth transition into UBS, ensuring process docs and guides remain up to date
- Support the Portfolio Manager with the management of the Workforce Plan, liaising between the Project Managers and key Customer senior personnel to ensure resources are employed in the correct location
- Train and manage a junior PMO analyst into the role, ensuring sufficient challenge is employed into their role
- Manage contracts to vendors for new or extended resources
Planning, Reporting & Control
- Work with the Program Manager to develop Programme Standards guide, seeking contributions from Project Managers, QA team, and the Development teams to ensure that standards are met
- Own the processes to keep track of status, budgets, issues, risks, dependencies and benefits delivery of Market Risk IT programs/projects and releases; facilitate resolution and escalation of issues as required
PMO Improvements
- Manage and co-ordinate the PMO process, guide and template repository, using best examples from learnings to enhance and continuously improve
- Continue to evolve and improve the PMO level processes
Requirements
- Strong PMO / Project Management skills, with suitable qualification with at least 6 years of experience in large scale IT projects (Finance / Banking IT desirable)
- A detailed understanding of the project lifecycle processes, methods and approaches, with demonstrable experience.
- Computer literacy, Microsoft Office suite; particularly Excel at an advanced level for automation and maintenance purposes and pivot table creation and manipulation. Experience with VBA is a plus.
- Organised and disciplined in approach to work and effective under pressure and provide pragmatic solutions where appropriate
- A motivated self-starter who can work autonomously in a multi-site team.
- Excellent communication and interpersonal skills, English, as this role will involve regular contact with Senior Customer colleagues
