- To provide active support with a sense of initiative to the Director of Corporate Governance (DCGO) in managerial tasks; includes providing assistance and advise to the Director on issues under his responsibility, including Management Board meetings and cross-divisional matters, Frontex corporate planning, internal controls, risk management, human and financial resources, security, corporate services, general communications, ICT, legal and procurement;
- To provide quality review and support in implementation of the regulatory framework of Frontex, including Management Board decisions, Executive Director decisions, Administrative Notices, Security Notices and other similar documents;
- To provide assistance and support in producing Frontex programming documents, including multi-annual and annual work programmes as well as multi-annual and annual financial planning; to collect and consolidate inputs of Corporate Governance subordinate entities, ensuring their quality and strategic alignment;
- To draft and prepare documents such as reports, briefing notes, letters, presentations, e-mail communications and minutes of meetings;
- To provide analysis and summaries of pending matters within the remit of Corporate Governance, in support of decision-making processes;
- To participate in planning and organizing of the work of the entity;
- To monitor relevant mailboxes and to coordinate the flow of incoming and outgoing communication, to distribute tasking and to follow-up on work in progress until completion;
- To monitor and supervise, often autonomously, internal tasking and follow-up measures within the Corporate Governance Division with the aim of ensuring delivery in compliance with deadlines and required quality standards;
- To support DCGO in preparation of meetings in terms of content as well as during meetings; to draft and distribute meeting outcomes, if relevant (e.g. ICT Governance and Information Board);
- To perform other tasks as instructed by the Director of Corporate Governance.
Essential requirements:
Education:
- successfully completed secondary education related to law, administrative or management
- diplomas of: General Administration, Business Management, Financial Management, Economics, Political Sciences/ European Studies or Social Sciences
Work experience:
- at least 1 year of professional experience in finance, international law, administrative or management.
Language skills:
- very good command of both written and spoken English (at least B2/C1)
Computer skills:
- knowledge and experience in working with databases.
- experience in professional layout tools such as Adobe Creative Suite (especially InDesign and Acrobat Pro)
Personal:
- high level of responsibility and ability to take initiative;
- very developed level of service orientation;
- ability to work under pressure and experience in organizing
- work and prioritizing accordingly;
- ability to communicate efficiently at all levels internally and externally and in appropriate manner;
- high level of discretion and ability to handle confidential matters;
- ability to work in a team.
